The Excel Link Manager (ELM) allows you to update multiple Excel Links at once through a single pane. If you are used to the Update All window, the difference is an improved and more user-friendly navigation pane, where you can group links by slide or Excel sources or filter only those links with update issues.
Activate the Excel Link Manager
If you are on version 6.8.42 or higher, you can follow the below instructions. You can check which version you're using by going into the UpSlide Settings in the tab About.
If you do not have the option to activate it, you are on an older version of UpSlide and should contact your IT or admin to check when you will be upgraded:
- Open the Update All window in PowerPoint
- Toggle Try the Excel Link Manager at the bottom of the window
Navigate the Excel Link Manager
Thanks to the Excel Link Manager, save time updating multiple links at once. If you are looking at updating a single link we recommend that you follow these steps.
The Excel Link Manager will enable you to:
- View and navigate links grouped by slide and workbook/sheets.
- Update multiple links at once (e.g. all links sharing the same Excel source, all links in a slide, or all links in a presentation).
- View problematic links grouped by issue type (no source, multiple sources or outdated content).
Please be aware that the option to Include all open documents when updating Excel Links is no longer available in the Excel Link Manager.
Update Excel Link items
Use Slides view to update links
The Slides view helps you sort your Excel links in order as they appear in your presentation, and you can select the slides you want to update. Expand each slide to see all available links and press on an individual link, and UpSlide will highlight it for you in your presentation.
To update specific slides simply:
- Check the tick box for each slide you want to update.
- Press Update at the bottom right-hand corner.
- If UpSlide shows issues in updated links, see below steps on how to resolve issues using the ELM quickly.
Use Sources view to update links
In this view, you will see all workbooks linked to your report in alphabetical order. Expand each workbook to reveal all worksheets that have data exported to your current presentation. For more details on where a workbook is saved, hover over a workbook name.
To update data from a specific source, follow these steps:
- From the list, select the workbook or worksheet you want to update by checking the tick box for each source you want to update.
- Press Update at the bottom right-hand corner.
- If UpSlide shows issues in updated links, see below steps on how to resolve issues using ELM quickly.
Use Filters to update links
Using the filters is the quickest way to update links from specific sections, or slides or to find links that haven't been updated in a while (e.g. more than 1 month ago). Follow the below steps to choose filters:
- Select the view you want to use, either by Slides or by Sources.
- Press on the filters dropdown at the top of the ELM pane.
- Select the filters you want to apply to your search.
Manage Excel Link issues from the ELM
Solve issues individually
There is a dedicated area to solve Excel Link issues, and in this section, you will learn how to resolve different issue types individually. Learn more about the different types of warnings when updating your data here.
UpSlide will highlight any issues with a danger sign. Follow these steps to fix them:
- Click on the See all issues button at the bottom right corner to see all warning types.
- Expand each warning category to reveal links with issues.
- Click on the Fix button next to the linked item.
- Select the workbook you want to use for the update from the Potential sources among open workbooks section.
- Press Update at the bottom right-hand corner.
Bulk solve issues
Use the Excel Link Manager to bulk solve Multiple Sources conflicts other than having to manually fix them one by one.
If you come across this issue, it means you have more than 1 Excel workbook that has been linked to your presentation previously. Follow these steps:
- Once prompted, click See issues.
- In the new view, click Multiple source conflict to see a list of all affected links.
- Select Fix all. In this pane, you will see all of the links that match the same conflict.
- At the bottom, select the source workbook you want to update from and press Update.
You can follow the same steps to bulk solve outdated data issues.
